Managing Bookings

Within this topic, we have outlined some of the key actions you may take against a booking in the Tables Host application.

Navigate to Events Host

Creating a New Booking

Follow these steps to create a new booking:

  1. Click +New Booking

  2. Choose an Occasion

  3. Define the Number of Guests | click Next

  4. Select the Date

    If dates are limited in choice, this will be due to the settings defined within the Occasion setup
  5. Select a Time | click Next

    If using Bookable Areas, you will be required to select an Area on this step also
  6. Click Continue

    If required, you can select a Menu and/ or Extras. Any that appear with the header in amber font, it means that the Menu or Extra is not suitable for the previous criteria selected. As a Host, you have the ability to override this
  7. Enter the Guest Details

    Some details may have been made mandatory through your system setup. The fields which are system required at a minimum is the guest last name
  8. Click Save as Confirmed

    Based on your bookings criteria, your options may change below. Select the drop down arrow and it will display the ability to "Save as enquiry". Should your booking have a deposit requirement outstanding, your options will display for you to "Save as provisional" or "Save as enquiry"

Editing a Booking

To edit a specific booking, firstly locate the booking and then use the below steps to manage editing.

Follow these steps to edit a booking:

  1. Open the Booking Overview

  2. Click Edit Booking

  3. Make any/ all required changes to the booking

  4. Click Save

    When selecting Save, this will trigger an updated event email template to the defined email address. If you do not want to notify the booker of the changes you have made, click on the "Save and do not notify guest" option

Cancelling a Booking

To cancel a booking, firstly locate the booking and then use the below steps manage cancelling.

Follow these steps to cancel a booking:

  1. Open the Booking Overview

  2. Click Cancel Booking

  3. Enter a Cancellation Reason

  4. Click Cancel Booking

    If you have selected this option by mistake, select to "Exit without cancelling" and the booking will remain in it's previous state

Reading a Bookings History

If you are wanting to review a bookings history and the changes or actions that have taken place, you can do this using the Booking History section.

To view a booking history, firstly locate the booking and then use the below steps to managing reading the history.

Follow these steps to read booking history:

  1. Open the Booking Overview.

  2. Scroll down and click on the View History

    A window will open. On this window you have the ability to search by words as well as filter the changes made by date, action, modified by (who made the change), and the channel
