Ordering Restrictions

When placing orders minimum and maximum quantity thresholds can be set for each stock item to ensure accurate ordering and maintain optimal inventory levels at the site. Additionally, supplier specific controls allow you to define value based minimum and maximum limits when placing orders with a selected supplier.

Min / Max Order Limit for Stock Item

Navigate to Stock Admin → Stock Items

Follow these steps to set a min / max order limit:

  1. Select the required Stock Item

  2. Select the Details tab

  3. Set the following options as required

    • Maximum Per Order Quantity

    • Minimum Per Order

      • Define if the minimum is by By Price Value or By Quantity

Min / Max Order Limit per Supplier

Navigate to Stock Admin → Suppliers

Follow these steps to set a min / max order limit per supplier:

  1. Select the required Supplier

  2. Click Edit

  3. Set the following options as required

    • Default Max Value

    • Default Min Value

      All sites ordering from this supplier will have use the default values set
  4. Click Save Changes

Min / Max Order Limit per Supplier & Profit Centre

Follow these steps to set a min / max order limit per supplier and profit centre:

  1. Select the required Supplier

  2. Click Authorisation Values

  3. Click Edit

  4. Set the follow options as required per profit centre

    • Min Order Value

    • Max Order Value

  5. Click Save

Authorisation Settings

When working with min and max value ordering there are different settings that can be configured if an order goes over the set value.

  1. Select the required Supplier

  2. Click Edit

  3. Set the Max Order Authorisation Type as required

    • No Action – nothing happens to the order, so it can still be sent
    • Prevent if Over – the order cannot be sent, the operator must edit the order to be within the budgeted amount

    • Send Email Request – an email will be sent to the Operations Manager for them to accept or reject the order

    • Send Email Notification – the order can still be sent but the Operations Manager will be notified via email

  4. Click Save Changes

Email requests and notifications will need to be configured for each site, please contact your Zonal Account Representative to have this configured

Additional Information

  • If you place an order that is over the minimum order amount for a given delivery slot (order today for delivery tomorrow) and you would like to place another order for the same delivery day (tomorrow) you will need to order over the minimum amount again

  • If there is a maximum order limit in place for a site the system will take all orders placed for that supplier into account for the current stock period and the combined total must not exceed the maximum limit entered in the Authorisation Values
