Suppliers

I entered the details of a new supplier however I cannot save the supplier on the system

Ensure that the ‘Supplier’ and the ‘Credit Request Email Address’ fields are completed and that the ‘Order Sending Type’ field is configured as ‘No Ordering’. If you do not have the supplier’s credit request email address yet, use an internal email address temporarily.

I would like to set up a new supplier on the system however the system doesn’t allow me to save the details of the supplier and the error message states that the supplier already exists

The names of the suppliers are unique, and you cannot have two suppliers with identical names configured on the system. Go on the Suppliers page, then flag the show inactive option at the top of the page to see the already configured inactive suppliers.

Who can set up and amend the suppliers and their supplier products?

Those users who have the ‘MM Stock Admin’ User Group assigned to their user accounts.

Stock Items

A supplier product is not being sent to Aztec

Ensure that the ‘Can Order’ flags are flagged on the:

  • Suppliers Details page

  • Relevant Stock Items Details tab

  • Relevant Stock Items Supplier Products tab

  • Relevant Stock Items Order and Stock List tab

How can I account for the yield in Menu Management?

The yield must be configured in the Dispense Size Multiples section under the Size Multiples tab of the Stock Items.

How can I amend the stock categories in Menu Management?

The stock categories can only be managed in Aztec. They correspond to the Subcategories in Aztec and they will be updated after each data export takes place from Menu Management to Aztec.

How can I amend the stock size of a Stock Item if it was set up incorrectly?

If a Stock Item was set up with an incorrect stock size, the Stock Item must be deactivated, and a new Stock Item will need to be created with the correct pack size. When deactivating the old Stock Item, please rename it (example by adding ‘OLD’ at the end of its name) before the deactivation because the system will not let a new Stock Item to be configured with an identical name.

How can I configure a product as a default supplier product for a default supplier?

The default supplier and its default product must be configured under the Supplier Products tab of the Stock Items by flagging a supplier product with the default flag and marking the same product with the star.

Batch Items

A new Batch Item has been created in Menu Management however it doesn’t appear in Aztec

Make sure that the Batch Item is published otherwise it won’t be sent to Aztec with the next data export.

Importer

The Allergen Template cannot be uploaded to Menu Management due to an error

Make sure that:

  • None of the columns have been altered in the template prior to the import

  • The existing data hasn’t been changed under the A, B, C, D …. R columns

  • The data has only been amended under the S, T, U, V…. AK columns

  • The template has been saved in a ‘.CSV (comma delimited)’ format

The Price Change Template cannot be uploaded to Menu Management due to an error

Make sure that:

  • Tone of the columns have been altered in the template prior to the import

  • The existing data hasn’t been changed under the A, B, C, D …. I columns

  • The new prices have only been entered under the ‘NewPrice’ column (J) without the ‘£’ symbol

  • The template has been saved in a ‘.CSV (comma delimited)’ format

Recipes

A new Recipe has been created in Menu Management however it doesn’t appear in Aztec

Make sure that the Recipe is published otherwise it won’t be sent to Aztec with the next data export.

A Recipe is not displayed in the Recipe book reports

Make sure that:

  • Recipe Category where the Recipe belongs to is flagged under the ‘Recipe Book’ column on the Recipe Categories page

  • Recipe is published

A Recipe is not populated in the search box under the Recipes page

Search for the Recipe by ticking the ‘Show Inactive’ button. If you still cannot find it, search for the Recipe under the Development Recipes page as it might not be live yet.

An allergen of an ingredient is not displayed in a Recipe

Check whether the allergen of the used supplier product has been approved.

An ingredient of a Recipe is not displayed in the Recipe book reports

Ensure that the ingredient is flagged under the ‘RB’ column under the Recipe’s Ingredients tab.

How are the sale items created on Enterprise?

Once the Recipe is sent from Menu Management to Aztec, an entity code will be sent back to Menu Management and the relevant sale item will be automatically created for that Recipe.

How can I amend the Recipe Categories in Menu Management?

The Recipe categories can only be managed in Aztec. They correspond to the Subcategories in Aztec and they will be updated after each data export takes place from Menu Management to Aztec.

How can I configure a portion of a Recipe in Menu Management?

A portion is configured in Menu Management as separate Recipe. See the steps below:

  1. Create a new Recipe (or create a copy of the original Recipe)

  2. Ensure that the ingredients of the new Recipe reflect the portion size (example half portion will need only half quantities of the ingredients)

  3. Select the ‘Alternative’ portion field on the Recipe’s ‘EPOS’ tab, select the name of the relevant ‘Standard’ Recipe, then select the name of the Portion

How can I link a Recipe to a Print Group?

A Recipe can be linked to a Print Group (Course in Aztec) under the Recipe’s EPOS tab.

How can I link a Recipe to a Print Stream?

A Recipe can be linked to a Print Stream under the Recipe’s EPOS tab in Menu Management.

How do I manage the Choices?

The Choices are managed in Menu Management under the Choices page.

When trying to add a Batch Item as an ingredient, the Batch Item is not populated in the ingredients list under the ‘Ingredients’ tab of a Recipe

Make sure that the Batch Item has been flagged for the Division you are working in.

When trying to add a Stock Item as an ingredient, the Stock Item is not populated in the ingredients list under the ‘Ingredients’ tab of a Recipe

Make sure that the relevant Stock Item has at least one supplier product flagged for ordering purposes. (All 4 ‘Can Order’ flags must be flagged).

Where do the Print Streams and Print Groups get managed?

The Print Streams and the Print Groups are managed in Aztec.

Menus

I have created a new menu however it is not visible to other users

Make sure that the menu has been shared by changing the visibility of it to ‘Shared’.

The Recipes I have selected are not visible under the Courses

Make sure that you have expanded the Course by selecting the arrow pointing downwards on the right-hand side of the page.

The sales quantity of a Recipe has not been changed after the Sales Mix Import

The Recipe is either a new Recipe, or it hasn’t been sold during the selected date range.

Other

I made changes in Aztec to Subcategories, Portion Types, Print Streams or Print Groups - how do I send the data to menu management?

A data export from Menu Management to Aztec will be done daily and this process will trigger the data to be updated in Menu Management with the latest Subcategories, Portion Types, Print Streams and Print Groups.

Users

A message which have been posted is not visible on the Messages page

Check the following:

  • Have you selected a correct date range for your message?

  • Has the message been published?

  • Are you part of the recipient group that this message was posted for?

The message which have been posted is not expanded and it is not displayed at the top of the Messages page

Ensure that the message has been flagged as ‘Important’.

What to do if a client would like to use the ‘Locked to IP Address’ functionality?

The client will need to ensure that a static IP address is configured at that location where the user accounts will be locked to. Following this, the client will need to send the IP address to Menu Management Support Team requesting for this to be added to the site’s configuration. Once the IP address is configured, the client can start locking the users to that location.

What to do if a user can’t access the web pages after logging in

Check whether the user account has the relevant User Groups and User Access Groups assigned to.

What to do if a user has lost the user activation email

The user will need to contact the appointed person who is responsible for maintaining their Menu Management user accounts. Please note, the user activation emails can be re-issued at any time and they will be valid for 30 days.

What to do when the internet connection is down at the location where a user is ‘Locked to IP Address’?

You must remove the ‘Locked to IP Address’ flag for the user so that the user will be able to log in to Menu Management from any locations.

Who can configure user accounts?

Those users who have the ‘MM User Management’ user group assigned to. They will be able to add new users as well as update the details and settings of the existing user accounts.
